Texas Health Action (THA) is seeking a Front Desk Medical Receptionist Team Lead at our Central Austin Clinic, to answer phones and handle all of the day-to-day administrative tasks required to keep the clinic running smoothly. This person will attend to patients on the phone and in person, coordinate and organize appointments and documentation to facilitate the smooth running of the healthcare environment and support delivery of quality patient care and serve as the team lead for medical receptionists.


What you would do: 

  • Greet patients, answer incoming calls and handle inquiries
  • Register patients according to established protocols
  • Ensure patient information is accurate, including billing information
  • Inform patients of medical office procedures and policy
  • Maintain and manage patient records
  • Maintain and manage systems and wait lists designed to schedule and track patient appointments
  • Schedule patient appointments
  • Move patients through appointments as scheduled
  • Produce and distribute correspondence, memos, letters and faxes
  • Manage incoming and outgoing post
  • Develop and maintain systems that enhance the patient experience
  • Submit and reconcile purchase approvals for office supplies
  • Maintain supplies inventory by checking stock to determine inventory level, placing and expediting orders, verifying receipt of supplies
  • Provide general support to clinic visitors
  • Report statistics as required
  • Takes notes for clinical staff meetings
  • Collect timesheets in absence of the Clinic Manager
  • Ensure reception and work areas are well maintained, neat and clean
  • Safeguard patient privacy and confidentiality
  • Complete other clerical duties and office tasks as assigned
  • Supervise and manage front desk staff
  • Training front desk staff upon hire and as updates and changes occur
  • Manage schedules of front desk staff
  • Provide support and direction to medical receptionists, including other locations
  • Interacts with Clinic Manager to carry out additional requests

  • This is a full-time, non-exempt position requiring 40 hours a week with some night and weekend hours.

Your previous work life and education must include: 

  • At least 2 years experience in medical office management
  • Knowledge of medical terminology, procedures and diagnosis

Your previous work life and education ideally include: 

  • Communication and customer service skills
  • Bachelor’s degree in Health Sciences or related field
